The Legal Lexi Privacy Policy

Introduction

This privacy policy (this “Policy”) is for The Legal Lexi Limited apps and products that we use as part of our business. In this Policy, our business (being a provider of apps and products to legal services providers and their clients) is referred to as “we”, “us” or “our”.

We are a provider of apps and products to legal services providers, and, according to data protection laws, LegalLexi is:

  • a processor of your personal data when you provide it through your use of those apps and products; and
  • a controller of your personal data when you access the apps and products.

We respect your privacy and are committed to protecting your personal data. This Policy will inform you as to how we look after your personal data when you access LegalLexi’s products.

The LegalLexi application (“Products” or “LegalLexi”), whether through a mobile application or a web-application (together, the “App”). This Policy also tells you about your privacy rights and how the law protects you.

Where we act as a processor, the controller is the legal services provider (“Law Firm”) that you intend to contract with for specific services, and that requests that we grant you use of the App and the Products.

1. IMPORTANT INFORMATION AND WHO WE ARE

Purpose of this Policy
This Policy aims to give you information on how we collect and process your personal data through your use of the Products and the App, including any data you may provide through the Products and the App.

The Products and the App are not intended for children or any person under the age of 18, and we do not knowingly collect data relating to people of that age.

Controller
We are the controller and are primarily responsible for your personal data.

If you would like to submit any requests to exercise your legal rights, please contact us, using the details on our website, contained in the Product or the App.

Complaints
You have the right to make a complaint at any time to the Information Commissioner’s Office (ICO), the UK regulator for data protection issues (www.ico.org.uk). However, we would appreciate the chance to deal with your concerns before you approach the ICO, so please contact us in the first instance.

Changes to this Policy and your duty to inform us of changes
We keep this Policy under regular review. This version was last updated in July 2025. Any changes will be posted on this page and, where appropriate, notified to you when you next start the App or use the Products.

It is important that the personal data we hold about you is accurate and current. Please keep us informed if your personal data changes during your relationship with us.

The Products and the App may, from time to time, contain links to and from the websites of partner networks and affiliates. Please note that these websites and any services that may be accessible through them have their own privacy policies and that we do not accept any responsibility or liability for these policies.

2. THE DATA WE COLLECT ABOUT YOU

Personal data means any information about an individual from which that person can be identified. It does not include data where the identity has been removed (anonymous data).

The Products and the App may collect, use, store and transfer different kinds of personal data about you which we have grouped together as follows:

  • Identity Data includes first name, maiden name, last name, username or similar identifier, login and password information, marital status, title, date of birth and gender.
  • Contact Data includes email address and telephone number(s).
  • Technical Data includes internet protocol (IP) address, your login data, browser type and version, time zone setting and location, browser plug-in types and versions, operating system and platform, and other technology on the devices you use to access the Products and the App.
  • Device Data includes the type of device you use, a unique device identifier, mobile network information, your mobile operating system, and the type of mobile browser you use.
  • Usage Data includes information about how you use the Products and the App.

We collect, use and share Aggregated Data such as statistical or demographic data for any purpose. Aggregated Data could be derived from your personal data but is not considered personal data in law as this data will not directly or indirectly reveal your identity.

The Products and the App do not collect any Special Categories of Personal Data about you unless you provide it to the Products and the App (this includes details about your race or ethnicity, religious or philosophical beliefs, sex life, sexual orientation, political opinions, trade union membership, information about your health, and genetic and biometric data).

If you fail to provide personal data
Where we need to collect personal data by law, or under the terms of a contract we have with you, and you fail to provide that data when requested, we may not be able to perform the contract we have or are trying to enter into with you.

3. HOW IS YOUR PERSONAL DATA COLLECTED?

We use different methods to collect data from and about you, including through:

Direct interactions. You may give us your Identity and Contact Data by filling in forms or by corresponding with us. This includes personal data you provide when you:

  • download the App
  • register to use the App or the Products
  • create an account for the App
  • access and/or use the Products and the App
  • share data via the App’s social media and communications functions
  • participate in any video meeting available through the App
  • upload any documentation to the App or share it using the Products and the App
  • report a problem with the App or the Products
  • contact us for any other reason

Automated technologies or interactions. As you interact with the Products and the App, we will automatically collect Technical, Device and Usage Data about your equipment, browsing actions and patterns. We collect this personal data by using cookies, server logs and other similar technologies. Please see our Cookies Policy for further details.

Third parties or publicly available sources. We will receive personal data about you from various third parties and public sources as set out below:
– Technical, Device and Usage Data from analytics providers such as Google based outside the UK and information providers GB Group and SmartSearch based inside the UK.
– Identity and Contact Data from publicly available sources such as Companies House and the Electoral Register based inside the UK.

4. COOKIES

The Products and the App use cookies and/or other tracking technologies to distinguish you from other users of the App and the Products, the distribution platform (Appstore), and to remember your preferences. This helps us to provide you with a good experience when you use the App and the Products and also allows us to improve the App and the Products.

5. HOW WE USE YOUR PERSONAL DATA

We will only use your personal data when the law allows us to. Most commonly, we will use your personal data in the following circumstances:

  • Performance of a contract with you: Where we need to perform the contract we are about to enter into or have entered into with you.
  • Legitimate interests: We may use your personal data where it is necessary to conduct our business and pursue our legitimate interests, for example to prevent fraud and enable us to give you the best and most secure customer experience.
  • Legal obligation: We may use your personal data where it is necessary for compliance with a legal obligation that we are subject to.
  • Consent: We rely on consent only where we have obtained your active agreement to use your personal data for a specified purpose.

No fee usually required
You will not have to pay a fee to access your personal data (or to exercise any of the other rights). However, we may charge a reasonable fee if your request is clearly unfounded, repetitive or excessive.

Time limit to respond
We try to respond to all legitimate requests within one month. Occasionally it could take us longer than a month if your request is particularly complex or you have made a number of requests.
